1. Who we are & scope

LiveOrg, based in Georgia, United States, operates LiveOrg.ai (“LiveOrg,” “we,” “us,” or “our”), a platform for creating and managing organization charts. This policy explains how we handle personal information on our website, in our application, and when you contact us. Our privacy contact is info@liveorg.ai.

We determine how account, website, and support information is used. When a customer uploads information about people in their organization, that customer generally determines the purpose of that processing, and we handle the information to provide the service on their behalf. The applicable roles depend on the circumstances and applicable law. This notice does not replace any separately agreed data processing agreement.

2. Information we handle

  • Account and sign-in information. When you sign in through Google or GitHub, our authentication service receives information such as your name, email address, profile image, provider identifiers, and authentication credentials or tokens needed for sign-in. We maintain an account identifier and account creation information. We do not receive your Google or GitHub password.
  • Organizations and charts. Information you enter or import can include organization names and logos, people’s names, job titles, departments, reporting relationships, notes, photos, profile links, and chart layout information. Uploaded photos are prepared for display and stored with your chart media.
  • Support communications. Our contact form collects your name, email, topic, and message, with optional company and phone information. We receive the contents of your messages and subsequent correspondence. Please do not include passwords, payment card details, or unnecessary sensitive information.
  • Technical information. Hosting and authentication services may process IP addresses, request times and paths, browser or device information, and diagnostic or security events when you use the service. The contact endpoint temporarily uses an IP address to limit repeated submissions and a request identifier to avoid duplicate email delivery.
  • Preferences. Your browser stores your selected light or dark theme. Authentication cookies maintain your sign-in session.

Payments and subscriptions. LiveOrg offers paid access to the platform. When you start a paid subscription or a trial that requires a payment method, payment providers may collect your billing name, address, payment card or other payment-method details, and transaction information to process payments. Depending on the checkout integration, we may receive billing contact information, a customer or subscription identifier, plan and trial details, payment status, invoices, transaction history, and limited payment-method information such as card brand and last four digits. Payment providers handle payment credentials under their own privacy notices, which will be identified at checkout. Do not send payment card details through our contact form or include them in your charts.

3. How we use information

We use information to authenticate you, maintain your account, save and display your organizations and charts, process your imports and exports, deliver uploaded images, remember preferences, answer requests, and communicate about the service. We also use necessary information to diagnose problems, prevent spam and misuse, enforce applicable agreements, handle disputes, and meet legal obligations. For paid access, we use billing information to administer trials and subscriptions, process recurring charges, manage renewals and cancellations, send billing notices and receipts, handle applicable refunds or payment disputes, and maintain accounting and tax records.

Where a law requires a lawful basis, we rely on performing our contract with you for account and service delivery; legitimate interests for proportionate security, fraud prevention, service reliability, and responding to inquiries; legal obligations when applicable; and consent where required for an optional activity. Where we rely on legitimate interests, we consider the impact on individuals and their rights. We do not treat visiting the website as blanket consent to unrelated processing.

We do not sell your personal information, share it for cross-context behavioral advertising, or use chart content to train AI models. The current chart service does not send your chart content to a generative AI service. We do not use your information for automated decisions producing legal or similarly significant effects.

4. People in your charts

Only upload information you are authorized to use. If you add information about employees, colleagues, or other people, you are responsible for having an appropriate legal basis, providing required notices, maintaining accuracy, and honoring their rights. A publicly available photo or profile does not automatically give permission for every use.

Use the platform for organization information relevant to your charts. Do not upload government identification numbers, payment card details, health records, or other sensitive or regulated information that is unnecessary for that purpose. Contact us before using LiveOrg for processing that requires a special agreement or regulatory safeguards.

Saved charts are currently private to their creator; organization membership alone does not give another user access to your chart. You control any chart exports and the copies you share outside LiveOrg. If your information appears in a customer’s chart, contact that customer about its use. You may also contact us, and we will assess the request and assist or direct it to the appropriate customer where applicable.

5. When we share information

We disclose information when necessary for the purposes described here:

  • Service providers. Cloudflare supports website hosting and request delivery; Supabase supports authentication, database services, and private image storage; Resend delivers contact-form emails to our support inbox. Our email provider processes those messages and replies. Providers handle the information needed for their services under their applicable agreements.
  • Payment providers. We exchange the information needed to process payments, administer subscriptions, prevent payment fraud, and handle billing inquiries or disputes with payment providers. These providers may also process information for their own legal, security, and financial compliance purposes, as described in their privacy notices. We identify the applicable provider at checkout.
  • Sign-in and external services. Google and GitHub process sign-in activity under their own policies. If you use an externally hosted image or logo, loading it can disclose your IP address and request information to that host. Visiting a LinkedIn profile or other external link takes you to a service with its own privacy practices.
  • Authorized access and advisers. Personnel, contractors, and professional advisers may access information as needed to operate and support the service, address a request, or obtain legal, financial, or security advice, subject to appropriate confidentiality duties.
  • Legal and safety reasons. We may disclose information when required by law or legal process, or when reasonably necessary and permitted by law to investigate fraud or misuse, enforce agreements, establish or defend legal claims, or protect LiveOrg, its owners, employees, users, or others and their rights, property, or safety.
  • Business changes. Information may be disclosed in connection with a proposed or completed merger, acquisition, financing, restructuring, or asset transfer, subject to applicable confidentiality and privacy requirements. We will provide notice when required.
  • Your direction. We may disclose information when you instruct us to do so or provide valid consent where required.

This policy covers LiveOrg’s practices, not the independent practices of third-party websites or services. We do not authorize third parties to use chart content for their own advertising through our service.

6. Cookies & preferences

We use authentication cookies needed to keep you signed in. We store your theme preference in browser local storage so it can persist between visits. The current website does not deploy advertising pixels or third-party marketing analytics trackers.

You can clear cookies and local storage in your browser settings. Clearing or blocking authentication cookies can sign you out or prevent account features from working; clearing the theme preference restores the default theme. We do not currently conduct sale or advertising-sharing activities for which an opt-out signal would be needed.

7. Retention & deletion

We retain account information and saved content while needed to provide your account and service. Support correspondence remains in our email systems as needed to respond, maintain relevant business records, or resolve issues. Security and diagnostic information is retained as needed for operational and security purposes, subject to provider settings.

Billing, invoice, and transaction records may be retained after cancellation or account deletion as needed for accounting, tax, fraud prevention, and payment-dispute obligations. Retention depends on the type and sensitivity of the information, why it was collected, account activity, legal requirements, and the need to resolve disputes or enforce agreements. We do not currently promise one fixed retention period for every category.

You can delete charts in the application. Deleting a chart removes its active chart record, but uploaded images or residual copies may remain separately stored until removed. For account deletion or removal of associated media, email info@liveorg.ai. Signing out or canceling a subscription does not itself delete your account or content.

We assess deletion requests under applicable law and may retain limited information when necessary for legal obligations, security, fraud prevention, or legal claims. Deleted information may remain in backups or provider systems until their applicable deletion cycle and may be isolated from ordinary use. Copies you exported or shared with others are outside our control. We will explain applicable restrictions where required.

8. Security

We use authentication, server-side ownership checks, database access policies, and private storage for uploaded chart photos to restrict access. Access needed for operations and support is limited to its appropriate purpose. No internet service or storage system can guarantee complete security.

Keep your sign-in provider account secure, use a trusted device, and take care when exporting or sharing charts. Report suspected unauthorized access to info@liveorg.ai. We will investigate and provide notifications when required by applicable law.

9. Your choices & rights

You can edit chart information, export a chart, delete charts, change your theme, or sign out through the application. Contact us to request help accessing, correcting, or deleting account information.

Depending on where you live and which laws apply, you may have rights to know about or access personal information, obtain a portable copy, correct inaccuracies, request deletion, restrict or object to processing, and withdraw consent for processing based on consent. Withdrawal does not affect processing already lawfully completed. Some rights have exceptions.

California residents may have rights to know, access, correct, delete, and opt out of sale or sharing, and limit certain uses of sensitive personal information, where the California Consumer Privacy Act applies. We do not sell or share information for cross-context behavioral advertising. We will not unlawfully discriminate against you for exercising applicable privacy rights. Other US state laws may provide additional rights, including an appeal of a denied request where applicable.

Send requests or appeals to info@liveorg.ai with “Privacy request” or “Privacy appeal” in the subject, or use our contact form. Describe your request without sending sensitive identity documents initially. We may request proportionate information to verify your identity and, for an authorized agent, their authority. We respond within applicable legal deadlines and explain a denial and available appeal rights where required.

You may also complain to your local privacy regulator. If European or UK data protection law applies, you may contact the supervisory authority in your place of residence, work, or the alleged infringement. Contacting us first does not limit that right. This policy does not waive any statutory privacy rights.

10. International visitors

LiveOrg is based in the United States. Information may be processed in the United States and other locations where our service providers operate. Those locations may have different data protection laws from your location.

Where applicable law requires safeguards for an international transfer, those requirements apply to that transfer. Contact us for information about the relevant processing locations, contractual arrangements, or safeguards before uploading information that requires a particular hosting location or transfer arrangement. We do not promise that your information remains in your country or claim a privacy certification through this notice.

11. Children’s privacy

LiveOrg is a business service intended for adults aged 18 or older, not a service directed to children. We do not knowingly collect personal information directly from children under 13 or a higher minimum age where applicable law requires it. If you believe a child has provided information without appropriate authorization, contact us so we can investigate and take appropriate action. Customers remain responsible for the lawful use of information about people included in their charts.

12. Changes & contact

We may update this policy as our service or practices change. We will update the date above and provide additional notice of material changes when required, such as a website notice or account email. Where required, we will obtain consent before introducing a new use of information.

For questions, privacy requests, or concerns, contact LiveOrg, Georgia, United States, at info@liveorg.ai or through our contact page.
